STEP 1
Tell us how your business works
Start with the service application. There is no charge to apply. We review your services, coverage, greeting, business hours and who handles callbacks with you.
BUILT FOR HVAC CREWS
Keep service calls from becoming missed opportunities while technicians are driving, diagnosing equipment or working in an attic.
Get started ↗WHAT IT CAPTURES
Capture the caller’s name, callback number, service ZIP, equipment concern and preferred callback time in one organized request.
Air conditioner not cooling
Furnace or heat pump not starting
Maintenance and tune-up requests
Replacement or installation estimates
FROM CALL TO CALLBACK
A no-cooling call during a busy afternoon needs a clear handoff. An installation inquiry needs enough context for an estimate callback. No Days Off Reception answers with your business greeting and asks about heating, cooling, airflow, thermostat concerns or maintenance, using the services you approve during setup.
Your technician can review the request before returning the call. Your team decides which calls need attention first and confirms the visit, diagnosis and price.
The receptionist uses your approved call flow and asks a short follow-up when an answer is unclear.
AN EXAMPLE CALL
“My air conditioner is running, but the house is not cooling. Can someone call me back?”
The approved call flow asks whether the concern is heating or cooling, confirms the service ZIP code and callback number, and records the caller’s preferred callback time. The caller describes what they notice; the receptionist does not walk them through equipment repairs.
An AC-not-cooling request, the reported symptoms, service area and a confirmed way to return the call. Your technician decides the next step and confirms availability and pricing.
Illustrative call, not a customer testimonial. Your approved questions and call plan may differ.
YOUR CALLBACK CONTACT
New requests are saved in your private contractor dashboard. Choose email alerts, text alerts, or both for your configured callback contact—yourself or the team member you designate.
Text alerts require the recipient’s opt-in. We configure the destination and test delivery before enabling alerts for your account. Text recipients can reply STOP to unsubscribe.
That depends on your forwarding plan. With unanswered-call forwarding, your business phone can ring first and the receptionist handles calls you do not answer. With all-call forwarding, calls go to the receptionist.
A new-call text or email tells you there is a request to review. It does not transfer the caller to your mobile phone. Your team returns the call and confirms any appointment.
YOUR BUSINESS, YOUR CALL FLOW
We configure your greeting, services, service ZIP codes, hours and callback contact. Depending on your phone provider, you can forward unanswered calls, all calls or calls outside your business hours to your dedicated receptionist number.
Your existing business number stays yours. Forwarding settings and scheduled routing depend on your carrier or phone system; we review the plan with you before activation.
SETUP AND TESTING
STEP 1
Start with the service application. There is no charge to apply. We review your services, coverage, greeting, business hours and who handles callbacks with you.
STEP 2
Test the assigned receptionist number before forwarding customer calls. Listen to the greeting, check the questions and closing, and verify the request appears in the dashboard.
STEP 3
Use your provider’s forwarding instructions for the agreed call plan. Call your existing business number from another phone and check the routing, request details and approved alerts before final activation.
STEP 4
Review new requests and return calls with the customer’s details in front of you. Your team confirms coverage, appointments, availability and pricing.
COMMON QUESTIONS
Call answering is configured around your business. Your team stays in control of the work and the commitments made to customers.
Yes. We configure the questions around the HVAC services you offer. The receptionist captures the concern or project request so your team can follow up about service, maintenance or an installation estimate.
No. It gathers the caller’s description and callback details. Diagnosis, repair advice and equipment recommendations remain with your technicians.
Yes, when after-hours forwarding is part of your call plan. The receptionist collects the request and follows your approved instructions. An answered call does not mean your crew is available for an immediate visit.
It can collect a preferred visit time when appointment requests are enabled. A requested time is not a confirmed booking; your team confirms the appointment and availability.
Your private contractor dashboard organizes the caller’s contact information, service request and callback details. You can choose email, text, or both for your configured callback contact. Text recipients must opt in, and we test your alert delivery before enabling it.
The receptionist follows your approved urgent-call instructions and directs immediate danger to emergency services or the appropriate utility. It does not dispatch a crew. If the caller is outside your service ZIP codes, it records the request and explains that your business must confirm coverage.
